EOA Program Launch Procedure

When a chapter expresses interest to launch, the following steps should be taken:

STEP I

FILL OUT LAUNCH APPLICATION FORM AND HAVE THEIR CORE TEAM IN PLACE

Fill out a program launch application form which will include the following:

  • Recruitment plan (including lead generation and marketing efforts)

  • Plan to grow the program to 25 participants or more within 2 years of the launch

  • Chapter EO board and Regional council in agreement to launch EOA program

RECOMMENDATION:

  • EO Chapters needs to be above 30 members to launch an EOA program

  • Locations without EO chapters (guidelines yet to be developed)

Identify the EOA chair (champion): The following are the criteria which is generally followed:

  • The champion should be a qualifying EO member who should be ready to become the chair of the program for a year or two and should have his / her business entity in the chapter that he/ she will be championing.

  • Ask the Global EOA team on a potential EOA program to partner with in your region.

  • The champion should have strong connections with other prospective members of the city/ state to attract them to EOA.

  • The champion should have the ability and strong interpersonal skills to create awareness about EOA to prospective members.

  • The champion should have the passion and time commitment for EOA.

  • Knowing the cultural, geographical and political conditions of the city will be an additional advantage.

Develop and share the launch budget- please use the launch budget hyperlink in the application form.

  EOA Sub-Portfolio will disburse the launch grant to the chapter in two phases:

  • 3000 US$ as initiation budget during the soft launch phase (when program has 10 paid participants) within two years from the time the program is set up on the hub
  • 12000 US$ when the program reaches 15 paid participants within two years from the time the program is set up on the hub

RECOMMENDATIONS TO USE THE DISBURSED GRANT:

  • Booking venues

  • Marketing strategies

  • Recruitment drives

 

STEP 2

TRAINING AND EXPLORATION

The following items are required before we move to the next step:

  • Champions Training (EOA chair):

    • Attend chapter officer training at GLC or online
    • Connect with regional experts and Accelerator chairs of EOA programs within the region or outside to get first hand understanding of EOA operations: recruitment drives, EOA board operations, program benefits, budget, etc
  • Measurable action plan in place with timeframes and metrics associated with the timeline. Add this plan to the Chapter Board Tracker used at Strategy Summits

  • Schedule the first recruitment event.

  • Strategy to grow to 25 members within 2 years post launch.

  • Chapter Staff to assist the Champion. It is critical to get the buy in of the chapter staff to be able to execute the program well (a part of 3K from the grant to be used as an incentive for chapter staff).

The following items are recommended to move to Step 3:

 Champion identifies and employs a local individual to function as the chapter manager during the development stages of the proposed program

  • Champion recruits a learning and membership
  • Champion identifies upcoming EOA board members
  • Champion provides necessary training to EOA board
  • Champion identifies and creates channels of
  • Calendar of upcoming recruitment/learning
  • Press coverage regarding the entrance of EOA in the

STEP 3

RECRUITMENT

DURING THIS PHASE WE RECRUIT THE NECESSARY MEMBERS TO LAUNCH THE PROGRAM.

The following items are required to move to Step 4:

  • Host a recruitment event/test drive.
  • Recruit at least 10 paid

The following items are recommended to move to Step 4:

  • Negotiate a strategic alliance partner to support launch
  • Connect with universities, banks, local businesses, chambers of commerce, management organizations, political leaders, and editors/publishers of local business-related
  • Determine chapter  dues.

 

STEP 4

ORGANIZE THE CHAPTER

THE PROGRAM PREPARES ITSELF FOR RATIFICATION.

The following items are required to move to Step 5:

  • Hire and onboard a chapter
  • Set chapter
  • Form the first EOA

 

RECOMMENDATION:

  • < 15 participants - EOA board to have 2 members

  • 15 participants - EOA board to have 3 members

  • 25 participants - EOA board to have 4 members

  • 35 participants - EOA board to have 5 members

  • 45 participants - EOA board to have 6 members

EOA board members to comprise of:

  • EOA chair
  • Membership
  • Learning
  • Accountability Group Chair
  • Strategic alliances
  • Social
  • Finance

Create a long-term development plan meeting the below criteria:

  • Launch event schedule
  • Program bank account
  • Program by laws

The following items are recommended to move to Step 5:

  • Champion and Accelerator Expert bi-weekly or monthly check-ins scheduled for the next 6-12
  • All board members connected with regional experts and functional
  • Program calendar set for the first twelve (12)
  • Each board member has a strategy in place for their
  • EOA participants to be a part of the EOA board preferably in their second year into the Their learning and understanding of the program would bring value to the board’s operations.

STEP 5

RATIFICATION AND LAUNCH

DURING THIS PHASE THE PROGRAM IS RATIFIED, AND IT CAN BE LAUNCHED.

The following items are required to move to Step 6:

  • Adhere to Chapter License Agreement set forth for EO and EOA
  • Host launch
  • Outline of the program’s three-year plan, including
    • How will the program meet the growth rates required?
    • Funding model.
    • Leadership succession plan.
    • Value proposition.
  • Communicate on the launch of the
  • Press release/s in the location
  • Trainer options are shared with the chapter and trainer

 

STEP 6

POST-LAUNCH

To ensure the creation of a healthy program, the following items are required during this phase:

  • Accelerator Chair and EOA board members to monitor growth rates on a quarterly basis and strategize plans accordingly
  • Identify Accelerator co-chair in advance
  • Include Accelerator co-chair/s in meetings and invite them to assist Accelerator chairs in EOA program related activities
  • Plan a robust handover to incoming chairs and EOA board members
  • Work with regional experts and fellow chairs to learn and replicate best practices

 

RECOMMENDATION:

  • Incoming chair to attend GLC in person, if this is missed, attend online Chapter Officer Training (COT) training

  • Reach out to the global team for resources related to the program, role and responsibilities of the chair and chapter staff

  • Attend all quarterly calls schedule by the global team (Involvement of Experts and global staff with the program)

EOA launch process in brief:

  • Program set up as COMING SOON on EO
  • Below 10 participants, they can join the global virtual learning AG’s can be run in-person by the chapters.
  • 10 -14 participants: termed as Soft The chapter will be assigned a trainer to conduct virtual learning days.
  • 15 participants: Program can officially COMING SOON tag removed and convert to in-person learning days with same trainer.

 

Program to adhere to the following:

  • Programs below 10 participants prior to renewal season has a year to grow the program to 15 participants.
  • Chair and Expert to agree on program checklist in the beginning of the fiscal year (checklist shared with the chairs)
  • Separate bank account and/ or book-keeping for EO and EOA

Program Application: Application of interest submitted by EO chapter representative.

Adherence to Chapter License Agreement: Follow all EO program requirements and standards including those set forth for EOA

Chapter commitment to the EOA program could be in the form chapter staff support or the Chair and chapter representative can agree on a financial commitment for the implementation of the program
