Renewals Checklist

Driving the Renewal Campaign

The Chair plays a key role in retaining quality participants and keeping the renewal process active throughout the year. To do this well, the Chair should identify at-risk participants, inspire renewals, and stay aware of who is approaching the three-year mark.

  • Work with the board member responsible for membership, the Chapter Administrator, and the EO Accelerator Program Coordinator to ensure participants are renewed on a monthly basis.
  • Track renewal status during events to reduce participant attrition.
  • Check with Accountability Group coaches to identify participants nearing graduation or those unlikely to renew, and encourage proactive recruiting to replace them.
  • Ensure non-renewed participants are no longer active in quarterly events and groups by 30 June.
  • Inform EO Accelerator staff about participants who are not planning to renew.
  • Act as a liaison between local participants and EO Global staff, since renewal communications are sent by EO Global Accelerator staff.

Accountability Group Visits
  • Ask participants what the program does well.
  • Ask what the program could improve.
  • Ask whether they plan to renew and why or why not.
  • Coordinate notes with the Membership Chair so any non-renewal spots can be filled through referrals.
  • Use these visits to identify strong candidates for future board roles.
Quarterly Events
  • Circulate a list of participants due for renewal at each quarterly event.
  • Follow up with participants who missed quarterly events to understand why and let them know they were missed.
  • Track participant growth at each Learning Day.
One-on-One Calls
  • Call participants directly to understand how they are experiencing the program.
  • Ask where they are finding the most value.
  • Ask how the program can be improved.
  • Show that the organization cares about their contributions and attendance, and address issues early.
Engage Tenured or Disengaged Participants
  • Reach out individually to understand how quarterly events can better meet their needs.
  • If their expertise can add value, connect them with the trainer for an upcoming quarterly event.
  • Invite them to accompany you to Forum groups to expand their network and create additional mentorship opportunities.
Renewal Timeline
  • March: Discuss and confirm any changes in local fees. Report fee changes to Accelerator staff.
  • April: Announce the renewal period for May/June.
  • May: Update local fee information and confirm payment details.
  • June: Complete autorenewal.
